FAQ

No. There is nothing to mount, wire, or install at the site. The only physical component is a small Bluetooth tag attached to each key ring. The rest is a mobile app and cloud software.

When a staff member carries a key outside the home zone, the app detects the tag and automatically marks it as Out, recording the phone's location at that moment. From that point on, location is recorded at each detection event for as long as the key remains within the site zone but outside the home zone — giving you a picture of where the key has been, not just where it started. Tracklet does not continuously track location between events; it captures a location snapshot each time the tag is detected.

Once the app is installed, yes — day-to-day check-ins and check-outs are fully automatic. Staff carry their phones as normal and the app detects nearby key tags in the background, updating custody status without any tapping, scanning, or manual log entries.

The one thing staff do need to do is install the Tracklet app and create an account. Joining is voluntary — key detection only occurs through phones of staff who have actively opted in. Staff who have not installed the app are not part of the network. Tracklet follows iOS and Android platform guidelines for background Bluetooth activity, keeping battery impact to a minimum.

Detection speed depends on the phone's platform and whether the app is in the foreground or background.

When the app is open (foreground): Both iOS and Android scan for BLE tags continuously and detection is near-immediate — typically within a few seconds of a tag coming into range.

When the app is running in the background (screen off or a different app open), the operating system limits BLE scan activity to preserve battery:

  • iPhone (iOS): iOS throttles background Bluetooth scans. A key event may take anywhere from 30 seconds to a few minutes to register after a tag enters or leaves range. Apple does not publish exact timings — they vary based on device activity, battery state, and whether other apps are active.
  • Android: Android 8 and later restrict background BLE scanning similarly. Tracklet uses an optional lightweight foreground service (shown as a persistent notification) which allows more frequent scans — typically detecting events within one to two minutes in background mode.

For key custody purposes this is the right trade-off. Staff carry a key for minutes or hours, so a detection lag of one to two minutes has no practical impact on the accuracy of check-in and check-out records. Tracklet records where the keys are and who has them — it just doesn't need to do so in real time. A location that is a minute or two old has proven more than accurate enough to know where a key is and get it back quickly if needed.

Each staff member creates an account using a verified work email address and sets a display name. A phone number is optional — staff can add one to make it easy for admins to contact them directly if a key is needed urgently. The email is used to confirm identity and anchor the audit trail. No government ID or biometric data is required or stored.

Each tag lasts 3 years under normal use. When a tag expires, you simply replace it with a new one — all key labels, history, and site associations carry over. Replacement tags are available at the same price as new tags.

No. Tracklet uses a Hardware as a Service model — you pay once for the tags and the app and cloud platform are included at no extra cost. There are no subscription fees, per-user charges, or ongoing billing. You pay again only when tags are replaced at the end of their 3 year life.

Yes. Tracklet extends digital custody beyond the cabinet — covering the period when keys are outside the cabinet and out of the office. It works as a complement to any existing cabinet system, adding out-of-cabinet visibility without replacing or modifying the cabinet.

Consumer personal trackers are designed for one person to find a lost item using a single account. For organisational key management, that creates immediate and fundamental limitations:

  • One account, no shared access. Only the account holder can see a consumer tracker's location. Multiple managers, supervisors, or staff cannot monitor the same keys — which defeats the point of a custody system.
  • No audit trail. A rough location tells you where a key might be right now. It tells you nothing about who had it, when they took it, where it went, or who is accountable. There is no custody record, no history, and nothing to review when something goes wrong.
  • Platform dependency. Consumer trackers built around a single mobile ecosystem won't reliably serve a team using a mix of device types. Coverage becomes inconsistent and unpredictable.
  • Coverage relies on nearby consumer devices. Consumer trackers locate themselves by borrowing location signals from other nearby consumer devices passing through. In commercial buildings, car parks, and industrial sites that relay network is sparse and unreliable.
  • Not built for continuous business use. Consumer trackers are optimised for occasional personal recovery, not continuous detection across a working team. Battery consumption and hardware durability reflect that.

  • Drop off locally: Any Australian e-waste collection point — including MobileMuster locations, council drop-off events, and participating retailers — will accept them.
